<p>Non-desk workers are often in the front lines. They perform physical work, work with dangerous machinery, or cannot work from home and are at increased risk of the coronavirus. These issues are unfortunately inherent to their work. That&#8217;s why it&#8217;s essential to show that, as an employer, you care about the well-being of your employees and are doing everything you can to keep them as safe as possible. You can do this in several ways.</p>



<p><a href="https://www.netpresenter.com/platform/features#section-5" target="_blank" rel="noreferrer noopener">Pulse surveys</a>, for example, enable you to keep track of your organization&#8217;s pulse. How is everyone feeling? Is the workload too high? Are sufficient measures being taken to make everyone feel safe at the time of the corona pandemic? These sentiments are always subject to change, so a single poll (as discussed in the previous point) is usually not enough for these issues. Periodic pulse surveys, on the other hand, chart precisely how everyone feels or thinks about specific topics over a more extended period. You&#8217;ll immediately see when the mood changes. As with the previous point, you still have to do something with this feedback, otherwise collecting the data is pointless.</p>

<p><a href="https://s3.amazonaws.com/nasda2/media/COSDA_-Tribe-pres.pdf?mtime=20181009152210">Eighty-four percent of non-desk employees</a> need more communication. Especially if employees are in a position where they don&#8217;t see their colleagues much, such as outside sales account managers, truck drivers, or home health care nurses. They often lack water cooler talk and other small, spontaneous moments of interaction with colleagues in the corridors or during lunch break. These can all be moments in which business information is exchanged (or have you never had an impromptu, informal meeting during your lunch break?). A lack of these interactions makes non-desk workers more dependent on the communication and information they receive through formal communications channels.</p>



<p>However, this need for more communication does not mean you should send your non-desk employees the same messages and information you send your desk workforce. The key to successful employee communication is targeting. The more relevant a message is to an audience, the more people will read it. Someone who always works in the field will not benefit from, for example, information about office cleaning day. However, if colleagues in the office can&#8217;t be reached due to a technical failure, employees in the field must know about this.</p>

<p>In addition, MetLife research shows that employees increasingly expect communications to be personalized, especially younger Gen Z employees – they are more inclined to read personalized communications instead of generalized communications. This makes sense: if a message is written for you specifically, it&#8217;s probably more relevant and, therefore, more interesting.</p>



<p>In addition, personalized communications send the message that you know who your employees are and where their communication needs and their interests lie – a great way to say, &#8220;we&#8217;re glad you&#8217;re with us.&#8221; As a result, employees won&#8217;t feel like just another number on the payroll; they&#8217;re more likely to feel like they matter to the organization.</p>

<p>As much as <a href="https://www.mckinsey.com/featured-insights/future-of-work/whats-next-for-remote-work-an-analysis-of-2000-tasks-800-jobs-and-nine-countries" target="_blank" rel="noreferrer noopener">61 percent of the global workforce</a> cannot work from home at all. This automatically puts them at a higher health risk than their colleagues, who can stay in the safe space of their home.</p>



<p>Because of this increased health risk, it&#8217;s important to make the safety and health of non-desk employees a priority and show that you care. After all, an employer who cares about your health and shows they care is an employer you feel more committed to and are more inclined to take health risks for.</p>

<p>Internal communication can help you make your employees&#8217; safety a priority. Yet, many organizations struggle to keep this incredibly important group of employees well-informed. <p>Reaching their non-desk employees might be the biggest problem organizations face. It is relatively easy to reach your office employees: they work with their PCs daily and are also usually all in the same location. As a result, they might catch information in the corridors, during meetings, or during their lunch break, to which non-desk workers don’t have the same spontaneous access. &nbsp;</p>



<p>Non-desk employees often do their work in varying locations, unlike desk workers, who might spend most of their working day behind their dedicated desk. Moreover, <a href="https://view.joomag.com/the-tribe-report-5-the-non-desk-worker-issue/0431351001428434202?page=22" target="_blank" rel="noreferrer noopener">83% of non-desk employees</a> do not have a business email address. <p>Our customer <a href="https://www.netpresenter.com/customer-stories/barenbrug-and-netpresenter-a-strengthened-family-feel-for-all-employees">Barenbrug </a>also ran into the problem of how to reach their non-desk employees. “Our newsletter only got sent to colleagues with a Microsoft Office account,” says Mirella van de Sant, Global Marketing Director at Barenbrug. “That meant that many people in the field, production, and logistics did not receive the newsletter at all. <p><a href="https://www.netpresenter.com/customer-stories/intranet-more-popular-than-ever-thanks-to-netpresenter">Rotterdam World Gateway</a>, for example, uses large LED screens to inform its drivers of technical failures, delays, or unforeseen closing times. This information can normally be found on their intranet, but it is now also visible to the truck drivers thanks to this solution. These screens are strategically placed in front of the terminal, where trucks must park and wait before they enter the terminal. When they’re waiting, drivers get enough time to read all the messages before they resume work.&nbsp;</p>



<h2 class="wp-block-heading" id="non-desk-employees-often-don-t-feel-heard" style="font-size:19px">Non-desk employees often don’t feel heard</h2>



<p>Communication should not just consist of top-down, one-sided messages and information dissemination; employees should also be encouraged to communicate. Only <a href="https://www.cipd.co.uk/Images/talking-about-voice_employees-experiences_tcm18-54482.pdf" target="_blank" rel="noreferrer noopener">22 percent of employees</a> report that they can speak up enough to develop and implement new ideas. <p>If you’re contemplating how to reach your employees best, the first thing you need to think about is which channels are most accessible to them. Most office workers work with PCs all day. That makes their PC the most logical channel to use for communication, using a <a href="https://www.netpresenter.com/employee-communication-platform/tools/corporate-screensaver">corporate screensaver</a> or <a href="https://www.netpresenter.com/employee-communication-platform/integrations/teams">Microsoft Teams</a>, for example. But how do you reach employees who don’t sit behind their desks all day?</p>

<p>In that case, other channels are a lot more practical and designed for reaching people who don’t have access to a PC. Mobile devices such as smartphones and tablets, for example, can be very easily deployed to reach everyone in your organization. <h2 class="wp-block-heading" id="do-2" style="font-size:19px">2 – Do: Bring Employees in Touch with Each Other</h2>



<p>Non-desk employees can become a bit isolated from the rest of their organization due to their work’s nature. For example, drivers or sales consultants who work alone or perhaps in a team may have little to no contact with other colleagues – even with people doing the same job on a different team. Too bad, since informal conversations are very important for your company culture and mutual cohesion.</p>



<p>Sandy Roozen of Automatic Signal also acknowledges the fact that non-desk employees may need some extra attention. “If you work at the office, you’re more likely to meet up with some colleagues and have a chat over a cup of coffee. You’re more likely to feel connected and to hear more about the organization. However, we wanted to give everyone the same feeling, especially colleagues who work in the field. <p>It is important that you enable employees to interact with each other – after all, you don’t just want to publish information; you want to bring your employees in touch with each other. <p>The <a href="https://www.netpresenter.com/customer-stories/netpresenter-immediate-feel-good-effect-brooklyn-hospital-center">Brooklyn Hospital Center</a> regularly highlights a job well done. Eric Sommer, Senior Writer &amp; Editor at Brooklyn Hospital Center, explains: “The TV and PC screens have had a huge effect on improving employee satisfaction and morale as well as creating a sense of community. When a team does something remarkable, the so-called small victories, I go over there, take a picture, go back to my office, and put the news and the picture on the screensavers and digital signage screens. The team then knows that everyone will know about their achievement, which makes them feel appreciated. It has an immediate ‘feel-good’ effect.</p>



<h2 class="wp-block-heading" id="dont-4" style="font-size:19px">4 – Don’t: Relying on Email</h2>



<p>How many emails do you receive every day? A survey by <a href="https://www.forbes.com/sites/edwardsegal/2021/04/21/survey-finds-email-fatigue-could-lead-38-of-workers-to-quit-their-jobs/?sh=23dc480d25d9" target="_blank" rel="noreferrer noopener">Wakefield Research</a> found that about 38 percent of office workers receive so many emails each day that the resulting email fatigue causes them to consider leaving their jobs. Contributing to this email fatigue with organization-wide emails might not be the best idea. An <a href="https://www.netpresenter.com/employee-communication-platform">employee communications platform</a> that informs and engages your employees and encourages interaction (while completely bypassing email) may just make employees more productive and enthusiastic about their work(day).</p>



<p>Madelyn Swanepoel, Internal Communications and Employee Experience Specialist at BankservAfrica aims to move away from organization-wide email communication completely in the future. <h2 class="wp-block-heading" id="dont-5" style="font-size:19px">5 – Don’t: Overlook your Non-desk Employees</h2>



<p>Although 80 percent of employees work ‘desk-less’, <a href="http://desklessworkforce2018.com/" target="_blank" rel="noreferrer noopener">99 percent of technology applications are still focused on office workers</a>. Moreover, in 89 percent of the cases, C-level or middle management decides which technology applications to implement. In short: the non-desk employees, the end users in this case, are overlooked.</p>

<p>However, your non-desk employees are the ones working in your front lines. They work with customers or patients daily, so they know what’s going on with key stakeholders. With this in mind, it might be a good idea to make sure that policies aren’t formed exclusively in meeting rooms or HQs: non-desk employees could give great input, too. Ask for their feedback on issues regularly, or even track the pulse of your organization with <a href="https://www.netpresenter.com/employee-communication-platform/features">pulse surveys</a>. That way, you’ll receive immediate feedback from your employees – wherever they are.</p>



<h2 class="wp-block-heading" id="dont-6" style="font-size:19px">6 – Don’t: Overload of Irrelevant Information</h2>

Not only do they not have a desk, they usually don’t even have a dedicated workspace or a laptop. These employees are at a higher risk of feeling disconnected from the rest of the organization – mostly, technologies are often optimized for office workers, <a href="http://desklessworkforce2018.com/">research</a> by Emergence shows. However, out of sight doesn’t have to mean out of mind necessarily: proper internal communication creates a culture of unity and involves everyone in your organization. It also ensures your non-desk employees are well-informed. To help you communicate with your non-desk employees, we’ve listed five tips for you. They will ensure that every employee is well-informed and feels part of the organization, regardless of where he or she works every day!</p>

<p>A big challenge in managing non-desk employees is communication. It’s relatively easy to communicate appropriately with people who are physically present in the same office for 40 hours a week. But non-desk employees often work geographically dispersed over multiple locations, perhaps across the country, which complicates organizing weekly team meetings. Additionally, non-desk employees commonly don’t work behind a computer – sometimes, they don’t have a company email address. This can further complicate communicating with these workers. They may even be overlooked. Information that’s important for their daily tasks is sometimes published in an e-mail sent to ‘everyone’ (except to the employees with no company email address …).</p>



<p>But that’s not where the difficulties end. Non-desk employees are often physically active at work, which means they don’t always have time to spare to check internal communication channels. All of this requires a communication channel that actively pushes information and news towards employees; at times when it’s essential for them to see it. That can be done by sending push-notifications (<a href="http://desklessworkforce2018.com/">a growing number</a> of employees have a smartphone) or <a href="https://www.netpresenter.com/employee-communication-platform/tools/sms-notifications">text messages</a>. In addition to bringing news to employees, it must be quickly and easily accessible, so employees are informed rapidly. A corporate app or a digital signage screen that show important news are ideal platforms to do so. As employees pass by, they can briefly check what’s going on. The advantages: no one is overlooked, and employees are still kept in the know, without having to stop performing their duties.</p>



<h2 class="wp-block-heading" id="h-2-engage-workers-using-two-way-communication"><strong>2. Engage workers using two-way communication</strong></h2>



<p>Non-desk employees tend to work far away from the head office or the department that’s responsible for <a href="https://www.netpresenter.com/internal-communication">internal communication</a>. For these employees, it’s more difficult to get in touch with other colleagues, departments, or the head office. Communication with non-desk workers is often mainly top-down and one-way as a result.</p>



<p>Non-desk employees need a communication channel that doesn’t only provide them with information but also allows them to give feedback or to respond or react to the messages. First of all, better-informed employees are often <a href="https://www.ibm.com/downloads/cas/ZEND5PM6">more engaged</a> in their organization. Secondly, well-informed and engaged employees ensure greater success and <a href="https://www.kincentric.com/-/media/kincentric/pdfs/kincentric_2019_trends_global_employee_engagement.pdf">higher productivity</a>, because they genuinely feel part of the organization and want to achieve the best for their employer. A communication channel that enables employees to give feedback and reactions, also contributes to a greater sense of belonging and unity: it allows direct contact with their colleagues, whom they can’t always see, but can reach more easily this way.</p>

<p>Many employees don’t have <a href="https://www.tinypulse.com/hubfs/EE%20Report%202019.pdf">a clear picture</a> of how their organization is doing, which is strange. After all, employees who know how their daily tasks increase the success of their organization can optimize that impact. This way, they contribute to a more successful organization – and in turn, that increases employee engagement. After all, who doesn’t like to contribute to the success of his or her organization?</p>



<p>Several of our customers actively bring insights into their business processes and KPIs to their employees. They do this, for example, by <a href="https://www.netpresenter.com/employee-communication-platform/integrations/power-bi">connecting Power BI</a> to communication channels such as <a href="https://www.netpresenter.com/employee-communication-platform/tools/digital-signage">digital signage screens</a> or a corporate app. This way, they make Power BI data transparent to their employees, giving them more insight into business processes. Employees are enthusiastic about these dashboards: they offer insights into business data, employees no longer have to look for the data and they allow employees to align their activities with the outcomes of the KPIs. Employees can use these data to optimize their impact on the performance of their organization more easily, and, thus, contribute to the success of their organization.</p>

<p>Non-desk employees aren’t always in contact with their colleagues. That’s a shame, because the people we work with can hugely influence how much we enjoy our jobs. A lack of contact with colleagues complicates building a sense of unity and belonging. <a href="https://www.tinypulse.com/hubfs/EE%20Report%202019.pdf">Research</a> by Tinypulse shows it’s these connections between colleagues that are the glue keeping organizations together. Therefore, stimulating positive relationships between colleagues is very important. However, building positive relationships with colleagues is difficult if you don’t know what your colleagues are doing daily, or what they might be going through.</p>



<p>Uniting employees takes more than just providing them only with information that’s relevant for their tasks. On the contrary, displaying nice-to-know messages also ensures that employees feel connected to their colleagues. For example, share milestones such as work anniversaries, birthdays, or important achievements through communication channels that allow reactions, such as an <a href="https://www.netpresenter.com/employee-communication-platform/tools/employee-app">employee app</a>. Non-desk employees can get in touch more often through a platform like this, so they’re aware of each other’s ups and downs. They can support and encourage each other, which, in turn, will result in more positive relationships between co-workers.</p>

<p>Sharing is caring, right? Not always, because too much information can be demotivating. If you share too much information with your employees, there may come a time when employees stop looking at your messaging. As a result, they run the risk of missing crucial information.</p>



<p>Let’s look at, for example, an organization with factory locations around the world and thousands of employees. We’ll zoom in on the employees of this organization that are working in the factories. They don’t need to be informed about the lunch served that day in the head office restaurant. This information doesn’t affect their daily tasks: it doesn’t make them more efficient or productive. It will probably just make them feel hungry; maybe they will even feel jealous or excluded. So, if they see messages like these over and over, they’re more likely just to feel distracted from their work than feel informed. It can be frustrating reading about things that aren’t important to you. If this keeps happening, these employees will start looking less and less at the messages that are published internally. After all, these messages are often irrelevant. Eventually, these employees could feel less engaged and could get <a href="https://www.ibm.com/downloads/cas/ZEND5PM6">less productive</a>.</p>



<p>To prevent this from happening, you can divide your employees into different public groups by location, department, or team. You’ll be able to show them only relevant content, so they will continue to view the information and will always be informed on important news. On top of that, they will feel more involved and part of the organization someone is making sure they only get to see the information that is relevant to them, to allow them to do their job well. That’s an excellent way to do your job!</p>
